Please read and follow the instructions in the confirmation email in case you need to change, cancel later or do not show up, reservation policy will apply.
Your booking confirmation will state the cancellation policy for your reservation. Where not specifically otherwise stated, the following will apply:
Automatic one (1) night charge or 25% for room guarantee – Full stay charge 90 days before travel date – Cancellations with less than 90 days notice is a one (1) night penalty – Cancellations with more than 90 days notice incur $100. USD or Euro where applicable, processing fee – No shows receive no refund and the room will not be available after arrival day. Please do consider travel insurance.
The balance is due 90 days before you travel. If the balance is not paid by this date we will notify you and your booking will be cancelled. In the event such a cancellation, you will lose the amount you have paid. If the balance has not already been paid off by the due date, we do reserve the right to collect the balance due automatically from the card used to pay the initial deposit 90 days before your date of travel.
While we try to ensure that all details, including prices, displayed on our website are accurate, given the large volume of events we offer, mistakes may occur. We reserve the right to correct any mistakes at any time in any language and adjust invoices to show the correct amount. This does not constitute a breach of contract at our end, nor give you a right to any claim. Refunds will be made by check, in case of a price increase, you will be notified and have the right to cancel your reservation without penalty within 24 hours.
The hotels/venues featured in our advertising and on our website operate to at least the minimum standards required by local legislation. These local standards vary from country to country and may not be the same as in your home country. SDC does NOT allow any animals to be brought to any venue that we have a contract with. Our cancellation policy is subject to change at any time without prior notice. SDC is not responsible in any way, shape or form for hotel operations beyond our control.
SDC Event Reservations
Important: We strictly adhere to our cancellation policy for the SDC groups and takeovers for ALL our clients alike: In the event of any cancellation for any reason, you need to do this in writing. E-mail your cancellation request to firstname.lastname@example.org or fax your message to fax number (919) 851-4049.
Our cruises have a different cancellation period in place. Finale payments are due about 6 – 7 months before the event. After this final payment date, there is no refund. Before, there is a full refund, minus $500.00 administration fee.
Greek Islands Cruise
• Cancellation up to November 15, 2016 – Full Refund less $500.00.
• Cancellation on or after November 16, 2016 – No Refund.
• Cancellation up to June 1, 2017 – Full Refund less $500.00.
• Cancellation on or after June 1, 2017 – No Refund.
Any refunds over $100.00 will be issued by check. All other stipulations apply.
Please consider purchasing extensive travel insurance when making your reservation! All cancellations need to be done in writing to email@example.com. Cancellations up to 91 days will incur in a $100.00 or €100.00 processing fee per person unless otherwise stated on your booking confirmation. Cancellations 90 days prior to arrival date receive: NO REFUND. Full name changes are considered cancellations. Absolutely no gifting to friends of rooms allowed. Upon no-show on arrival day the room will automatically be taken back into our inventory and will no longer be available during the event!
A minimum deposit of $300 or the value of a one night stay is required to secure your reservation, depending on the event.
Once a deposit has been received, a fee of $100 USD or €100 will be charged each time changes are made to a reservation plus any additional change fees/penalties that may apply from the individual hotels or other vendors. All requests to change a reservation must be done in writing and can be faxed to 1 (919) 851-4049 or emailed to firstname.lastname@example.org. For changes made 90-0 days prior to departure, cancellation policy applies and there are no exceptions made. Full name changes for the couple are considered cancellations. Please note that we only forward remaining funds after cancellation one time only. It is your responsibility to request a refund of funds should you opt out on any subsequent event outside of the no-refund zone of 90 days. No exceptions.
Credit Card Safety
At SDC Marketing, we want you to feel safe and secure booking your travel with us online. For this reason, we use Secure Socket Layer (SSL) technology to encrypt your credit card and other sensitive information when you make reservations. The process of encryption prevents unauthorized individuals from viewing your information as it is securely transmitted over the Internet. Once received, your credit card information is not transmitted over the Internet again.
Your final documents will be e-mailed as soon as we receive final payment. Please check your documents for accuracy immediately upon receipt. Contact SDC Marketing immediately if you have any questions. Re-selling rooms or gifting to third parties is strictly prohibited. No exceptions.
To safeguard the couples only events/venues traveler is clear that these will not allow for single males without a partner (and single females depending on venue) to be allowed in even when paid in full. If the female partner leaves the venue/event, the other traveler will be checking out as well.
Inform SDC Marketing immediately as soon as you have your airline, flight information and arrival times to destination, to enable us to arrange for suitable shuttle transfers to and from your destination where needed. Shuttle service as a rule is not included in your reservation and will incur extra cost.
Please know that every single one of our clients is per definition a great client to us and therefore we are not in the position to grant exceptions to the rules for frequent as well as non-frequent travelers. Please consider buying the travel insurance that covers all situations in life that may cause you to have to cancel. We adhere strictly to our cancellation policy. Please protect your vacation investment, as purchasing a room at our events constitutes a business contract.
We strive to quote you the correct pricing as much as possible. When we do make an unintentional mistake at our end, we reserve the right to correct it and adjust the amount owed. You will be informed of any mistake within 72 hours after booking and you will have the right to cancel your reservation without penalty within 24 hours. When you do not respond within 24 hours, you automatically are considered to agree to any changes made. SDC is not responsible for rate fluctuations caused by currency conversions nor any bank charges your bank chooses to impose on monetary transactions.
We explicitly reserve the right to refuse bookings and/or customers at our sole discretion for any and all of our private events. This includes yet is not limited to clients who:
• Have an unpaid balance, this includes balances for previous events that resulted in a no-show or non-cancellation with a balance owed.
• Have shown what is experienced as offensive behavior towards SDC personnel or fellow travelers in any way, shape or form during the booking process or during an event.
• Have been expelled from any event due to breach of our rules of conduct that are applicable and in place at every event.
• Any cancellation or non-cancellation in the no-refund zone that has not been paid in full, will still require the full amount owed to be paid. If left unpaid, you will not be eligible to book a next vacation with SDC, before your outstanding unpaid balance has been paid in full.
Any refunds over 100.00 will be done by check, regardless of your payment method. If you would like the funds wired, the cost for the transfer will be deducted.
A one time forwarding of credits toward another existing event in the future is only possible, if that particular event takes place within a year from the start of the cancelled event. Please be aware that the applicable cancellation fees will still be deducted from any amount to be forwarded. Note that if you cancel within the no-refund zone, no amount can be forwarded to a future event. If you cannot decide right away which event you would like to participate in when forwarding a credit, please know that there is no refund after 12 months from initial date of event.
We strongly advise you to make sure to protect your investment and take a travel insurance policy for peace of mind! Please consider insurance that protects your holiday investment for any cancellation reason. We have a strict cancellation policy and we are NOT responsible for any loss should you decide to opt out of travel insurance.
One of the things we cannot control is the weather. if weather does not appear to be favorable for an event, please know that this does not constitute a breach of contract at our end nor does it make SDC liable in any way, shape or form. If you or a family member get sick or had an accident, or any reason at your end that makes traveling impossible, SDC Marketing is not responsible. Please purchase an extensive travel insurance that lets you cancel for any reason at any time.
SDC Marketing reserves the right to charge processing fees in the event of refunds, cancellations or special services. Should a dispute occur, charge-backs will be reviewed on an individual basis. You will be billed for any costs made and involved taking into account the limits of our liabilities, policies and responsibilities outlined in this agreement. Prices are charged in USD currency and converted into Euro or British Pounds as reflected on our payment page. SDC Marketing will try to keep a positive exchange rate. However, due to daily currency fluctuations, you may be charged higher or lower than stated. SDC Marketing cannot be held responsible for these over or under charges. SDC Marketing is not liable for any bank charges that may apply with your method of payment.
DISCLAIMER OF LIABILITY – SDC Marketing is acting only as an agent for suppliers in selling travel related services, or in accepting reservations or bookings for services that are not directly supplied by this travel agency (such as air and ground transportation, hotel accommodations, meals, tours, cruises, etc.). This travel agency, therefore, shall not be responsibility for breach of contract or any intentional or careless actions or omissions on part of such suppliers, which result in any loss, damage, delay, injury or death to you or your travel companions or group members. Unless the term “guaranteed” is specifically stated in writing on your ticket, invoice, or reservation itinerary, we do not guarantee any of such suppliers’ rates, bookings, reservations, connections, scheduling, or handling of personal effects. SDC Marketing shall not be responsible for any injuries, damages, or losses caused to any traveler in connection with terrorist activities, social, or labor unrest, mechanical or construction failures or difficulties, diseases, local laws, climatic conditions, criminal acts or abnormal conditions or developments, or any other actions, omissions, or conditions outside SDC Marketing’s control. Traveler is responsible in full for all damages caused by traveler’s own actions. Traveler assumes complete and full responsibility for, and hereby releases this SDC Marketing from any duty of, checking and verifying any and all passport, visa, vaccination, or other entry requirements of each destination, and all safety or security conditions at such destinations, during the length of the proposed travel. For information concerning possible dangers at international destinations, contact the Travel Advisory Section of the U.S. State Department or your local authorities. For medical information, call the Public Health Service. By embarking upon his/her travel, the travelers voluntarily assumes all risks involved in such travel, whether expected or unexpected. Traveler is hereby warned of such risks, and is advised to obtain appropriate insurance coverage against them. Traveler’s retention of tickets, reservations, or bookings after issuance shall constitute consent to the above, and an agreement on his/her part to convey the contents hereto to his/her travel companions or group members. It is understood that SDC events are for couples only meaning male/female. For locations where transfers or any other services are offered, by a third party and arranged by SDC on the clients behalf, it is understood that the clients name may be disclosed to the third party in order to provide service/s requested.
